Document verification statuses
What each document status means, which documents count as complete, and when one needs a follow-up.
This guide describes the demonstration on this site, which uses sample data.
Where you’ll see them
Every document in the demo has a status. You’ll see it on its request’s page, under Documents, and on the Verifications page, which lists the documents of every request.
Statuses differ in wording, icon, and tag style (outlined, dashed, tinted, or solid), so none relies on color alone.
What each status means
The Verifications page groups the seven document statuses into three filters.
Needs follow-up
- Needs a clearer copy
- The copy can’t be read. Ask the sender for a clearer one.
- Not received
- The document hasn’t arrived yet. Remind the sender to send it.
In progress
- Received
- The document has arrived and hasn’t been checked yet.
- Checking details
- The document has arrived and its details are being checked. Nothing is needed from you yet.
Complete
- Verified
- The document was checked and its details are confirmed.
- Matched
- The invoice matches its purchase order.
- On file
- The document is already on record, so it needs no new check.
Which documents count as complete
A request shows how many of its documents are complete, such as 2 of 5 complete. A document is complete when nothing is left to do with it: it’s Verified, Matched, or On file.
When a document needs you
Two statuses ask for a follow-up: Needs a clearer copy and Not received. Each of these documents shows a suggested next step and a button that drafts a follow-up, such as Request a clearer copy or Remind to sign.
A draft is marked Draft · Not sent and is never sent. Following up on outstanding items explains the steps.
